With an entirely new concept, we have significantly improved the management of cars, locations, and customers at Greenwheels. Previously, employees spent a lot of time searching for information and resolving issues; the new system provides clarity and efficiency. Tasks are clearly structured, processes run more smoothly, and internal teams can respond more quickly.

Lost in a maze of tables

The back-office system (ERP) of Greenwheels was very outdated and contained vast amounts of data. The application primarily consisted of pages full of tables, where internal employees had to search for the correct information. Whether it was a parking fine, car damage, or a new parking spot – finding and resolving incoming issues took unnecessarily long. Due to the lack of overview, issues regularly remained unresolved for too long.

Transformation to a task-driven layout

Our conclusion was straightforward: in addition to the existing tables, a task overview was needed where all relevant information is directly linked. Each issue can be expanded to review and edit the details. Each issue receives a deadline, a responsible employee, and the right contextual information, which you can view in a new panel if necessary. This way, the process becomes more organized, efficient, and clear for everyone.

Focused work with a simple menu

The task overview page is the new heart of the application. Here, employees can find their main tasks and deadlines at a glance. All other overviews are placed in a secondary menu to minimize distractions. This way, we create focus and ensure that users can work faster and more efficiently.

Designing for and with the end users

In addition to conducting user research with numerous interviews, we also designed alongside the users. We regularly organized sessions to validate our design concepts with them. Employees from all departments were eager to contribute, even if the MVP did not directly affect them. This way, we were able to deliver a design that is more broadly applicable.

A comprehensive design system, even for an MVP

Although we were hired for an MVP, we always deliver our designs with a complete design system library and extensive documentation. This ensures a smooth development process, consistency in design, and lower maintenance costs in the long term.
